How we look after your information
Arinya Retreat (ABN 53 859 560 583) is a small, owner-run retreat. We collect only what we need to host you well, we never sell it, and this page explains the rest in plain language. It is written to meet the Australian Privacy Principles.
What we collect
When you book or enquire: your name, email address, phone number, country, the dates and number of guests, any notes you leave us (arrival time, dietary needs, the occasion) and the add-ons you choose.
When you pay: your card is handled entirely by Stripe, our payment processor. Card numbers never reach our servers; we keep only a payment reference, the amount and the last four digits so we can issue receipts and refunds. For direct stays, Stripe keeps your card on file so the balance can be charged before you arrive, as set out in the booking terms.
When you buy a gift card: your name and email, the recipient's name and email, your message, and your delivery preference. If you choose to stay anonymous, your name is left off the card and the recipient's email.
When you visit the website: our web server keeps standard access logs (IP address, browser, pages requested) for security and troubleshooting. We do not run advertising trackers or third-party analytics on this site.
How we use it
- To confirm and manage your stay — confirmations, receipts, arrival details including the lockbox code, and a thank-you after you leave.
- To answer enquiries and arrange treatments, dining and other services you ask for.
- To issue, deliver and redeem gift cards.
- To keep our calendar in step with Booking.com and VRBO so the house is never double booked. Only dates are shared with those channels — never your name or contact details.
- To meet our legal obligations, such as tax records.
We do not send marketing newsletters. The only emails you receive from us relate to a booking, an enquiry or a gift card you are part of.
Who else sees it
A small number of trusted services help us run the retreat and may process your information on our behalf: Stripe (payments), Postmark (sending our emails), Booking.com and VRBO (availability only), and our hosting provider in Australia. Therapists, chefs and caterers we book for you are told only what they need — your name, the date and the service. We will disclose information if the law requires it. We never sell or rent it.
Cookies
The public website sets no cookies for tracking. A single secure cookie is used by our staff to sign in to the management area, and Stripe may set its own cookies inside the payment form to prevent fraud.
How long we keep it
Booking and payment records are kept for seven years because Australian tax law requires it. Enquiries that do not become bookings are removed after two years. Gift card records are kept until the card is fully redeemed or expires, plus the same seven-year period.
Keeping it safe
Our systems are encrypted in transit, access to guest records is limited to the people who run the retreat and protected by passkeys or strong passwords, and card details are never stored by us at all.
Your choices
